Job Status: Full time, 8 hours per day, Monday through Friday

Wage: $15.50/hour

General Summary of Purpose of this Position: Oversees the coordination of approximately 130 weekly volunteers and many special work groups. Provides volunteer training and orientation to the Food Bank operations. Instructs work group members in necessary tasks and procedures to be completed. Works to develop a spirit of cooperation and teamwork among Food Bank volunteers in assisting those in need of food assistance.  This position has the responsibility of keeping the Food Bank volunteers informed and maintaining a professional representation of the Food Bank at all times.  There is a shared responsibility in keeping the facility and food supply safe and sanitary.  This requires facilitating some scheduled evening volunteer opportunities.  Additional duties as assigned.

Specific Duties and Responsibilities:

Volunteer Coordination:

  • Schedule, train, recruit, and recognize volunteers

  • Provide volunteer training and orientation

  • Instruct work group members in necessary tasks and execution of proper

  • procedures

  • Develop spirit of cooperation and understanding among volunteers and

  • work group members

  • Recognize volunteers during special events such as birthdays and checks on them if they are ill

  • Represent the Food Bank while recruiting volunteers this may include,public speaking, giving tours of the food bank, as well as going out to recruit volunteers through service clubs, businesses, churches and schools

  • Generate job descriptions for the various roles at the food bank.

  • Publish a quarterly newsletter for volunteers

  • Maintain volunteer information board keeping up with current events and opportunities

  • Ensure volunteer hours, birthdays, and special events are recorded

  • Document required training needed and received

Warehouse Assistance:

  • Assists with daily warehouse tasks

  • Maintain projects for volunteers such as stocking, sorting, and assisting clients

  • Work with Warehouse Coordinator to ensure product rotation and food supply safety

  • Maintain facility safety and organization

  • Work with staff and volunteers in providing a safe and sanitary working environment

Communication:

  • Work with donors and partner agencies

  • Accept and record food donations from public and provide receipt as needed

  • Assist Partner agencies with requests for food items

Knowledge Skills and Abilities

Language Skills:

  • Read and comprehend basic instructions and present information to others

  • Read, interpret, and write routine reports and correspondence

  • Interpret and write general business documents or technical procedures

Mathematical/ Money Handling Skills:

  • Basic counting skills

  • Add, subtract, multiply and divide simple numbers

  • Handle small to large amounts of cash

  • Calculate figures and amounts applying concepts of basic algebra and/or geometry

  • Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form;

Computer Skills:

  • Words per minute computer keyboard required: Demonstrate proficiency

  • 10-Key strokes per minute data entry required: Demonstrate proficiency

Specialized Office Equipment:

  • Operate scanner/fax/copy machine to send or receive documents

  • Operate 10-key calculator to add, subtract, divide or multiple numbers

  • Operate Multi-line telephone system to place, receive, or transfer calls or to retrieve voice mail messages

Computer Software and Operating Systems:

  • Utilize computer spreadsheet to input, format and edit data and save, print, or transmit data

  • Utilize computer word processing to input/format/edit documents and save, print, or transmit documents

  • Utilize Internet/E-Mail to access, send, retrieve, save, print, or transmit documents, or data files

  • Operate personal computer with Windows operating system to start programs, input, format, and edit data files and print or transmit data

  • Utilize computer databases to create data files, input/format/edit data and save, print, or transmit data

  • Utilize proprietary, custom or online programs or computer data bases to input/format/edit data and save, print or transmit data

Specialized Tools (Non-Computer):

  • Operate Electric Forklift

  • Floor Scale

  • Pallet Jack

HRDC, Professional or Governmental Policies and Regulations:

  • State or federal regulations or laws (List by name): must follow guidelines on sanitation practices in accordance with regulatory and licensing requirements

  • Agency policies or procedures (List by name): All HRDC policies and procedures.

Drivers Licenses Required for Performing this Position:

  • Montana Class D Driver License and appropriate insurance

Professional Licenses or Certifications Required by Law, Rule or Regulation for Performing this Position:    

  • ServSafe Training

Licenses or Certifications That Would Be Useful but Are Not Required:          

  • CPR/First Aid

Other Required Knowledge, Skills or Abilities:

  • Ability to effectively work and communicate with a wide range of individuals from all socio-economic groups

  • Ability to read, interpret and implement documents such as governmental regulations, rules, and procedure manuals

  • Ability work with minimal supervision and effectively manage work flow

  • Ability to respond effectively to the most sensitive inquiries or complaints from customers or claimants;

  • Strong interpersonal and communication skills

  • Must be able to drive standard and automatic transmission vehicles

  • Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and ability to adjust focus.

  • The incumbent must be able to perform multiple tasks simultaneously, must be able to work under time and/or deadline pressures.

Education and Experience

Education: The following course(s) of study or class work usually provides the required knowledge skills and abilities to perform the duties of this position:

  • Graduation from high school or GED is required.

  • Associate’s degree or equivalent from two‑year college or technical school preferred.

Experience: The following kinds of experience usually provide the required knowledge skills and abilities to perform the duties of this position:

  • At least 6 months of experience in this field is required.

  • One to two years of experience in this field is preferred.

Supervision Received:

  • This position operates under general supervision. The incumbent’s work is primarily assigned by daily workflow and operations. The incumbent is authorized to make decisions as to the timing and sequence of work and the work is performed according to established policies and procedures and/or within applicable laws, rules and regulations governing the tasks being performed.

 Confidentiality:

  • The incumbent regularly works with confidential and client data, which if disclosed, may be detrimental to agency/client interests. Release of such information may also violate disclosure laws.

The incumbent is exposed to the following unusual, potentially hazardous or unpleasant working conditions:

  • Works in temperature controlled office environment and a warehouse where temperature may not be controlled

  • Weekly or more frequent exposure to unpleasant substances, odors, or noises
